Compliance Dashboard - User-friendly interface displaying KPIs related to task management and compliance obligations. Features include activity summaries, task overview charts, historical performance graphs, and customizable date range filters, all aimed at improving task completion rates and identifying areas needing improvement.
Review Dashboard - See a list of your active and archived reviews and high-level information like jurisdiction and completed screening questions. You can also quickly navigate to associated risk assessments, event management, tasks and reporting.
Review Setup - Easily create new reviews for your business that can be filtered for relevant teams and jurisdictions.
Defining Operations – Define locations and operations as many reviews consist of more than one. You will be able to answer each high-level and detailed requirement question in your review separately for each operation in each location. A mechanism also exists to allow you to give the same answer for every location/operation.
Permit, BMP, ESG Metric, and Sustainability Initiative Tracking – In addition to national, regional, and local law and regulation requirements you can add policies, standards, directives, and procedures that are specific to your company or review.
Subject Matter Experts (SMEs) - SMEs possess advanced knowledge in a specific area and may be internal experts or third-party contractors. Citation Manage associates each requirement with a subject area, such as Air, Water, Waste, etc. You can assign one or more SME to each subject area during the review process, even if they are not registered on the platform.
High-Level Screening - Define appropriate regulations at the site and operation level through “yes or no” questions that are fine-tuned through artificial intelligence to determine which legal requirements are applicable to your specific operational sites.
Detailed Screening – Following the high-level screening you are left with requirements for which you answered "yes" or "unsure". In most cases, each high-level requirement has several detailed requirements where we ask action statement questions to determine its applicability at the operational level (i.e. Submit annual GHG report no later than March 31 of each calendar year per 40 CFR 98.3(b)). This leads naturally into writing tasks.
Task Writing - Track upcoming deadlines, assign tasks and responsibilities to individuals or teams, and prioritize compliance activities based on applicability screening and associated risk levels. This helps ensure that nothing is overlooked, deadlines are met, and resources are allocated effectively.
Compliance Task Options - Create tasks with specified objectives, due dates, and frequencies, while also assigning responsibility. Additionally, it allows for identification of operational controls (e.g. ANSI standard) and evidence records.
Compliance Calendar - Track tasks that are assigned, initiated, or supervised by you along with information on whether the tasks are upcoming, due soon, late, or completed.
Compliance Notification Email - Receive a daily compliance email reminder summarizing tasks that are now due, late, or escalated. Additionally, it provides a list of upcoming tasks, enabling you to plan accordingly.
Legal Register - A key outcome of the assessment process that serves as a valuable tool for demonstrating regulatory compliance to stakeholders and regulators, particularly during ISO certification audits for standards such as ISO 9001, 14001, and 45001.
Reports - Generate reports on compliance activities, including regulatory submissions, inspections, and audits. This helps in demonstrating compliance with regulatory requirements to both stakeholders and regulators.
Requirement Changes – Displays regulatory changes (e.g. additions, deletions, or modifications) since your current review was created and how many tasks are associated with that requirement. You can decide if you want to do a new version of your review at this time.
Updates and Versioning Capabilities – Create new versions of a review in response to new or updated regulations with the ability to recall previous versions. This facilitates accurate internal and external auditing that reflects the regulatory requirements and compliance status during that specific timeframe.
Risk Assessment – Assign monetary or downtime figures to each category of risk (environment, health, safety, or security), and then identify areas of regulatory compliance vulnerability by answering 13 questions about each applicable regulation. Citation Manage then evaluates and ranks the risks, enabling you to prioritize and address the largest risks first.
Event Management and Response - Create and input potential events, operational or mandated, and the required response. Once an employee reports that event, it will then harness the appropriate response due to pre-set actions within the system.
